How to use Outlook Scheduling
These instructions are for Outlook 2003. They may be slightly different
for other versions of Outlook.
To schedule a meeting
You can use Outlook to view the free/busy times that individuals have
marked on their Outlook calendars. If everyone keeps their calendar
up to date, you can quickly find a meeting time that works for everyone
without multiple rounds of email and phone calls.
- Go to File -> New -> Meeting Request. A
meeting window will appear.
- Click on the Scheduling tab
- Under the All Attendees list, enter the name or email
address of each person you want to attend on a separate line.
Each individual's schedule should populate with times that they
have marked in Outlook. If the person is not on the Exchange server,
you will see their schedule blocked out with the No Information block.
- Locate a time for the meeting. You can use the AutoPick Next
>> button
to find the next time when all attendees are free.
- After you have filled in the Subject, Location, and put a brief
message under the Appointment tab,
click the Send button to send the request. Your meeting request
will be sent to everyone you entered as an attendee. The meeting
will automatically appear on your calendar.
